Notes of Annual General Meeting 31/3/2017
Present:

Season 2016/17 reports:
Minutes of the 2016 AGM were read and accepted.
Season 2016/17 reports were read, discussed and accepted (chair, head coach, treasurer, secretary)
- All committee members were thanked. Big thanks to Phil, for coaching every team and being a great coach and asset to our club.
- Julie our CWO was thanked for providing support and expertise in the child welfare and administration for the junior section of the club.
- We have an enthusiastic group of juniors who are developing well and attended their first SW Junior Grand Prix competition this season and all performed well, especially our U11’s won the U12 division.
- Total club expenses for 2016/17 season was £3129.90 and the club income was £3383.70. Membership subscription and training / match fees will be decided when we have been notified of hall hire costs for next season. Please pay subscriptions and monthly fees promptly to help with club finances. Phil clarified that students 18 years and over in full time education are still eligible to pay the junior rate.
Summer 2017 plans:
- Our South West Ladies Team are playing in the Exeter Challenge on 23rd April 2017 and at the South West Championships in Plymouth on the weekend of 6th & 7th May 2017.
- Wiltshire Men’s end of season tournament date is to be confirmed.[Now fixed for 20 May]
- We discussed volleyball in the park at Lydiard and it was agreed that we change the day to play volleyball on Monday evenings with Andrew as organiser (he will confirm weather conditions each week and look after the club net). Outdoors starts on Monday 8th May. It was mentioned that car parking charges now apply at £2.00 for over 2 hours parking. Watch the club website for further information www.woottonbassettvbc.co.uk
We have entered two mixed teams in Whitefield Volleyball Tournament at Bristol (grass) on 22nd & 23rd July 2017.
Season 2017/18 plans:
- On current player numbers we are likely to enter the 3 league teams again. Men in the Wiltshire Volleyball league, Women SW league, Wiltshire Ladies & Junior league held at Lavington. Members asked whether there would be enough players for a second team to play in the Wiltshire Volleyball league (for example if some of the women players would like to play), which would mean there would be more court time for players who are not in the first 6 of the A team, which would subsequently improve their volleyball play. We agreed to ask members and review further.
- It was mentioned about some of this season’s new juniors (age 14-15) playing in our women’s teams next season, depending on junior numbers available.
- Ladies teams to be discussed in May and ladies to be asked who was intending on joining next year. Whether still interested in having a SW team and interests in a mixed team.
- Mentioned that the Lime Kiln was having a new flooring laid in the main hall in May, which will not affect our training sessions, as the last training is on Sunday 30th April 2017.
- James suggested and members agreed to pay non-club members for their fuel costs to travel to our club to referee for us, as a bit of an incentive, as it has been difficult to get referees this season.
- James mentioned about ordering volleyball hoodies in black with club name and inner hood in a royal blue. The costs involved are £20 plus £5 for name/writing on reverse of hoodie. It was agreed that he go ahead and order a couple of hoodies to try on for size, as members were very interested in ordering them. Conrad mentioned about sponsorships and will look into a potential sponsorship for our club.
- Phil (head coach) expressed that he did not want to continue to coach all the teams next season due to family and work commitments as he would like to be more flexible. It was discussed to look into the possibility of approaching coaches from Bristol, Oxfordshire and Gloucestershire to assist Phil. Wiesia was going to enquire among her contacts for coaches situated near Swindon that could assist and was agreed that we would pay travel money as an incentive. We were advised that one Sunday a month during the Winter season, John Postance from Salisbury, may be available to coach at our club sessions. Phil (head coach) got given a vote of thanks for all the hard work, support and commitment he has given to our club.
- It was agreed that Richard is to continue maintaining the club website at a fee of up to £50 (currently under review) as most of our enquiries are made through the website.
- Members expressed that they would like more social events during the year. Daniel offered to organise Christmas and other social events. Wiesia suggested one Monday training during the Summer season to change into a BBQ social, which is £25 for a BBQ pitch at Lydiard.
- Members were keen to improve communications within the club. The facebook page to be updated by Charlotte and Maisie and they are to liaise with Richard to update the website. Was mentioned to think about other social media networks like Twitter and to create a messenger group to communicate. Admin still in names of Zuzana and Kasper, which will need to be amended accordingly.
Election of committee officers:
Chair – Dave was re-elected unopposed.
Treasurer – Donna was re-elected unopposed.
Secretary – Position still vacant as no elections. Maisie kindly agreed to take the minutes of this meeting and will consider taking on the Secretary position, with support from the club.
Welfare – Julie was re-elected unopposed.
Head Coach – Phil was re-elected unopposed. Sessions to be organised and coaches to assist.
Team co-ordinators:
Men – James was re-elected unopposed.
SWL – Zuzana, Helen (to be confirmed)
WJL – (to yet be discussed and confirmed, possibly Kernnya?)
Other roles (not on the committee):
Web Admin – Richard continues (fee)
Committee takes turns attending WVA meetings.

Men – 6 players nominated, Sergejs received the most votes.
SWL Women – 5 players nominated, Maisie received the most votes.
WJL (adult) – 5 players nominated, Charlotte awarded
WJL (junior) – 3 players nominated, Hayden awarded
Kevin Hobbis Award – 6 members nominated, Award went to Donna in recognition of her contribution as Treasurer for the club and her enthusiastic support for the SWL team (including supply of jellybabies!).
